PAYMENT & CANCELLATION POLICY

Grant Connects T/A Xhumanisa Eco-Safaris
(Hereinafter referred to as “the Service Provider”)

This Payment & Cancellation Policy forms part of the terms and conditions applicable to all bookings, tours, safaris, and travel arrangements facilitated or provided by the Service Provider. By confirming a reservation, the Participant acknowledges and accepts the terms set out below.

1. PRICING AND QUOTATIONS

1.1 All prices are quoted in South African Rand (ZAR), unless stated otherwise.
1.2 Prices are subject to change without prior notice due to exchange rate fluctuations, supplier adjustments, government levies, or fuel surcharges.
1.3 Prices are only guaranteed once full and final payment has been received.
1.4 Quotations are valid for the period specified on the quote; thereafter, updated pricing may apply.

2. DEPOSITS AND PAYMENTS

2.1 A 50% deposit of the full tour/safari cost is required to secure and confirm any reservation.
2.2 20% of the total tour cost, included within the deposit, is strictly non-refundable and covers administrative, planning, and reservation costs.
2.3 The remaining balance must be paid no later than eight (8) weeks prior to the scheduled departure date.
2.4 Bookings made less than eight (8) weeks before departure require full payment upon reservation.
2.5 Payments may be made via:

  • Electronic bank transfer (EFT)

  • Credit/debit card

  • Other approved electronic payment methods

2.6 Bank charges, international transfer fees, or card merchant fees are the responsibility of the Participant and must be added to the payment total.

3. FAILURE TO PAY

3.1 Failure to pay the balance by the stipulated due date shall constitute a breach of agreement, and the Service Provider may cancel the booking without prior notice.
3.2 In such event, all payments made to date shall be forfeited in accordance with the cancellation policy below.

4. CANCELLATIONS AND REFUNDS

Cancellations must be made in writing and will only be effective once acknowledged by the Service Provider.

Internal flights within South Africa

100% cancellation fee applies once booked

No-shows / late arrivals / missed departures

100% forfeiture – no refunds

4.1 Refunds (where applicable) will only be processed once funds have cleared and after deducting non-refundable amounts and third-party cancellation charges.
4.2 No refunds will be made for unused services, including accommodation, meals, transportation, activities, or excursions not taken, for any reason.
4.3 Where third-party suppliers impose stricter cancellation policies, their terms will supersede those of the Service Provider.

5. INTERNAL & THIRD-PARTY FLIGHT BOOKINGS

5.1 Domestic or regional flights booked on behalf of Participants are 100% non-refundable once ticketed.
5.2 The Participant is responsible for all flight changes, baggage fees, visa requirements, and re-issue costs.

6. AMENDMENT / ADMINISTRATION FEES

6.1 Amendments requested after booking confirmation may incur an administrative fee.
6.2 Amendments are subject to availability and cannot be guaranteed.
6.3 A change of dates is considered a cancellation and will follow the cancellation fees set out above unless otherwise agreed in writing.

7. FORCE MAJEURE / EVENTS BEYOND CONTROL

No refunds or compensation will be payable in the event of disruptions caused by factors outside the control of the Service Provider, including but not limited to:

  • Natural disasters, pandemics, extreme weather

  • Road closures, strikes, civil unrest

  • Animal activity, park closures, or safety-related route changes

  • Government travel restrictions or border closures

The Participant accepts that itineraries may be amended for safety or operational reasons without refund.

8. DISPUTES

Any dispute arising from payments, cancellations, or refunds will be handled in accordance with South African law. Jurisdiction lies exclusively within South Africa.

 

9. ACKNOWLEDGEMENT

By signing below, I confirm that I have read, understood, and agree to the above Payment & Cancellation Policy. I acknowledge that this forms part of my contractual agreement with the Service Provider.
